The following information explains how we operate as a company to provide you with not just a fantastic product but a customer experience like no other.
Through our years of trading we have learnt that closely following a process allows us to be more efficient, keep to schedules and provide a superior product to our competitors. We understand that our customers like to know what progress is being made and what to expect throughout the project. Communication is vital and we have a team of staff on hand to help from your initial enquiry to ongoing maintenance and servicing.
Request a Quotation
H.B. Paynter Gates receives many enquiries from multiple sources, including e-mail, website-forms and telephone with each one handled as efficiently as possible. One of our experienced sales team will record your details and discuss your requirements for an automated gate system and will promptly send you a provisional guide quotation.
This first phase of the process is to ensure that our interpretation of your wishes is correct and that we have the ability to meet your needs. Your provisional quotation will be in email format summarising your requirements with accompanying images and enough detail for you to have confidence in our service. This quotation is not binding but serves to pave the way forward.
When you are happy to move forward, you can use the link within your provisional quotation, or call to arrange an appointment for our sales team to visit and perform a survey. This gives us the opportunity to have a deeper conversation and discuss finer details whilst taking accurate measurements and identifying any environmental factors that may affect the project. We will not engage in any high pressure sales and will not provide the quotation during the visit.
With a full picture of the project we next generate a formal quotation which will cover all of the technical detail of our proposal with generic images to reflect your chosen product. This document should be read carefully as it will include everything you need to know about our product, the service we provide, our terms and conditions, policies and what costs are going to be incurred. We’re pretty confident that by this stage your quotation will be as you expect but we are always able to make amendments if your plans change.
Confirmation, Deposit & Schedule
When you are ready to accept our quotation we request that you use the link within the document to generate a confirmation. This declaration acknowledges that you have read our quotation and terms and conditions and are happy to proceed. You will need to confirm at this point the final billing details for us to address invoices to.
On receipt of your confirmation and billing details we will raise an invoice for the required deposit, 50% of the final balance, which is the first of your three staged payments. On the receipt of your deposit, the ball starts rolling and the project will begin. We will give you an approximate installation date based on our current workload and expected manufacturing time.
Drawings & Manufacturing
One of the most valuable steps in the whole process is the generation of high quality CAD drawings. We create detailed manufacturing drawings for every set of gates and in the process, provide you with a set that shows what your finished gates will look like, highlighting the key measurements that may be important to you. The drawing will have a customer signature box that we require you to sign before returning to us by e-mail or post. If you do not have a printer we can send hard copies. If of course you would like alterations made we can make adjustments with your input to ensure you get the gates just as you want them.
With the detailed manufacturing drawings our team of highly skilled craftsmen will start work on your gates. The whole process is precise and efficient with great care taken at every stage to ensure perfection. We only undertake to produce the highest quality gates with the finest materials and use state-of-the-art machinery and techniques to provide an unsurpassed final product.
Second Payment & Installation Booking
Prior to the final coating and assembly we will contact you again to request the second deposit payment, 25% of the final balance, to to confirm your booked installation date. Their will be a choice of dates given within the allocated slot in our program to find a time that suits you.
Installation & Handover
Approximately 2 weeks after receiving your final deposit our installation team will arrive on your chosen date ready to install your new automated gate system. We must be given clear and unhindered access to the gateway and it should be expected that you may have restricted access for long periods of the day.
Our carefully engineered system usually allows for an installation to be completed within a single day but we do occasionally require longer. We will liaise with you carefully as it is important for you to be present on completion for a formal handover and instruction session.
Paperwork and Final Billing
Shortly after handing the gate system over, you will receive your formal documents to be kept for your records and the final 25% balance invoice to be paid immediately unless otherwise agreed.
